IT’S ELECTION TIME!

As a follow up to my recent article “Who Wants A New Job?” in the Fall/Winter edition of the PSPA NEWS, those who are looking for one are in luck! We will be holding elections this April and May and we have several “jobs” open. (Please click on the position to see the detailed job description or scroll further down this page)

All offices hold a two-year term beginning on July 1, 2003, except for the Student Director at Large positions which hold a one-year term. Detailed job descriptions can be accessed by clicking on the links above. Information is also available about the Board of Directors as a whole. For those who wish additional information or have questions, call Nicole Buck, PA-C at 570-524-0510.

Those who would like to be a candidate for one of the graduate positions will need to submit the following by April 15th (that’s right, tax day!) for elections in May:

1. Letter of Intent
2. Brief Biographical Profile
3. Platform Statement, 300 words or less
4. Small color photo of your head and shoulders

Students who wish to be candidates for the Student Director at Large positions need only submit the platform statement and picture by March 15th for elections in April.

Please don’t be shy; this is a good way for you to become a more active member in the Society. Most positions require less than 10 hours of your time a month and it gives you a chance to see how your ideas can make a difference for our profession. Also keep in mind you can nominate a fellow PSPA member for any of the above positions. Just let us know and we will have someone contact him or her. Job Description for President Elect

General Responsibilities
The President Elect shall:
• Be familiar with and adhere to the duties of the Board of Directors as a whole
• Work closely with the President on all endeavors of the Society to learn all the duties of the President
• Succeed the Office of President at the expiration of the President’s term or earlier if the office becomes vacant for any reason
• Seek, recruit, and cultivate new volunteer leadership for the Society

Board Responsibilities
The President Elect shall:
• Review all information presented for discussion at the Board of Directors meeting prior to the meeting and come adequately prepared to discuss those items
• Coordinate the development of a 2 year action plan to coincide with his or her term of office
• Preside over all business meetings of the PSPA and its Board of Directors in the absence of the President
• Recommend appropriate policies for consideration by the Board of Directors

Committee Responsibilities
The President Elect shall:
• Serve as Board Advisor to the Government Affairs Division of the Society
• Be familiar with the minutes of the committees for which he or she acts as Board Advisor
• Oversee that each committee under his or her supervision meets the goals as outlined in the Society’s Strategic Plan
• Insist that all committees under his or her supervision submits a report 2 weeks prior to each Board of Directors meeting

Attendance Responsibilities
The President shall:
• Miss no more that one Board of Directors meeting annually.
• Serve as a Delegate to the AAPA House of Delegates
• Attend applicable AAPA Meetings
• Attend any Strategic Planning Sessions of the Society
• Attend AAPA’s Bridges Program

This position requires approximately 10-15 hours per month to fulfill its duties.

Job Description for Delegates and Alternates to the AAPA House of Delegates

General Responsibilities
A Delegate to the AAPA House of Delegates shall:
• Represent the interests of Pennsylvania’s PAs to the AAPA House of Delegates
• Review all proposed resolutions prior to the House of Delegates
• Present those resolutions deemed controversial to the Board of Directors to determine the position of the PSPA
• Represent the official position of the PSPA to the House of Delegates as determined by the Board of Directors
• Inform the membership of the actions of the House of Delegates via newsletter articles or other appropriate means

Attendance Responsibilities
A Delegate to the AAPA House of Delegates shall:
• Attend the PSPA Board of Directors meeting immediately prior to the meeting of the House of Delegates if resolutions will be discussed
• Attend the full House of Delegates meeting, including reference committee hearings unless excused by the Chief Delegate

This position requires approximately 1-2 hours per month to fulfill its duties with increased time the months preceding the meeting of the House of Delegates.

General Responsibilities
A Director At Large shall:
• Be familiar with and adhere to the duties of the Board of Directors as a whole

Board Responsibilities
A Director At Large shall:
• Review all information presented for discussion at the Board of Directors meeting prior to the meeting and come adequately prepared to discuss those items

Committee Responsibilities
A Director At Large shall:
• Act as a Board Advisor to those committees assigned by the President
• Be familiar with the minutes of the committees for which he or she acts as Board Advisor
• Oversee that each committee under his or her supervision meets the goals as outlined in the Society’s Strategic Plan
• Insist that all committees under his or her supervision submit a report 2 weeks prior to each Board of Directors meeting

Attendance Responsibilities
A Director At Large shall:
• Miss no more than one Board of Directors’ Meetings per year
• Attend meetings of those committees for which he or she acts as a Board Advisor
• Attend any Strategic Planning Sessions of the Society

This position requires approximately 10-15 hours per month to fulfill its duties.

Job Description for the Secretary

General Responsibilities
The Secretary shall:
• Be familiar with and adhere to the duties of the Board of Directors as a whole
• With the Board Administrator, notify all PSPA members at least 60 days prior to each meeting of the membership
• Keep minutes for all PSPA membership meetings
• Cast a single written ballot for a declared candidate on behalf of the members in the event that the candidate is unopposed in the election

Board Responsibilities
The Secretary shall:
• With the Board Administrator, notify the Board of Directors at least 15 days prior to each Board of Directors meeting
• Review all information presented for discussion at the Board of Directors meeting prior to the meeting and come adequately prepared to discuss those items
• Keep minutes for all Board of Directors Meetings or arrange for an alternate to take the minutes in his or her absence
• Send a copy of the minutes to each Board member within 2 weeks of the Board of Directors Meeting

Committee Responsibilities
The Secretary shall:
• Act as a Board Advisor to those committees in the Internal Affairs Division of the Society
• Be familiar with the minutes of the committees for which he or she acts as Board Advisor
• Oversee that each committee under his or her supervision meets the goals as outlined in the Society’s Strategic Plan
• Insist that all committees under his or her supervision submits a report 2 weeks prior to each Board of Directors meeting

Attendance Responsibilities
The Secretary shall:
• Miss no more than one Board of Directors’ Meetings per year
• Attend meetings of those committees for which he or she acts as a Board Advisor
• Attend any Strategic Planning Sessions of the Society

This position requires approximately 10 hours per month to fulfill its duties.

Job Description for the Treasurer

General Responsibilities
The Treasurer shall:
• Be familiar with and adhere to the duties of the Board of Directors as a whole
• Maintain accurate records of the financial status of the Society
• Deposit all money received by the Society into the Society’s account
• Pay all bills approved by the Board of Directors and record all receipts for those payments
• Submit an annual financial report at least 2 weeks prior to the general membership meeting
• Oversee the preparation of the Society’s annual budget

Board Responsibilities
The Treasurer shall:
• Review all information presented for discussion at the Board of Directors meeting prior to the meeting and come adequately prepared to discuss those items
• Submit a quarterly financial report to the Board of Directors 2 weeks prior to the Board of Directors Meeting
• Keep the Board of Directors advised of the status of income and expenditures in relationship to the Society’s annual budget

Committee Responsibilities
The Treasurer shall:
• Serve as the Chairperson for the Finance Committee
• Act as a Board Advisor to Financial Affairs Division of the Society
• Be familiar with the minutes of the committees for which he or she acts as Board Advisor
• Oversee that each committee under his or her supervision meets the goals as outlined in the Society’s Strategic Plan
• Insist that all committees under his or her supervision submit a report 2 weeks prior to each Board of Directors meeting

Attendance Responsibilities
The Treasurer shall:
• Miss no more than one Board of Directors’ Meetings per year
• Attend meetings of those committees for which he or she acts as a Board Advisor
• Attend any Strategic Planning Sessions of the Society

This position requires approximately 10-15 hours per month to fulfill its duties.

Job Description for Student Director At Large

General Responsibilities
A Student Director At Large shall:
• Be familiar with and adhere to the duties of the Board of Directors as a whole
• Promote student membership in the Society to students in the state’s PA programs
• Facilitate student involvement in all aspects of the Society

Board Responsibilities
A Student Director At Large shall:
• Serve as a liaison between the Board of Directors and the student members of the Society
• Represent student views to the Board of Directors
• Review all information presented for discussion at the Board of Directors meeting prior to the meeting and come adequately prepared to discuss those items
• Recommend appropriate policies for consideration by the Board of Directors

Committee Responsibilities
A Student Director At Large shall:
• Act as a Board Advisor to the Student Affairs Division of the Society
• Be familiar with the minutes of those committees for which he or she acts as Board Advisor
• Oversee that each committee under his or her supervision meets the goals as outlined in the Society’s Strategic Plan
• Insist that all committees under his or her supervision submit a report 2 weeks prior to each Board of Directors meeting

Attendance Responsibilities
A Student Director At Large shall:
• Miss no more than one Board of Directors’ Meetings per year
• Attend meetings of those committees for which he or she acts as a Board Advisor
• Attend any Strategic Planning Sessions of the Society

Duties of the Board of Directors


As a group, the Board of Directors shall:

• Fill vacancies in the positions of the Board between elections of the Society
• Impose such charges, dues, and assessments as deemed advisable for furthering the Society’s objectives
• Determine who is authorized to sign bills, receipts, endorsement, checks, releases, contracts, and documents on the Society’s behalf
• Take responsibility for all financial affairs of the Society
• Hire, oversee, and remove when necessary all employees and/or those providing professional services for the Society
• Be certain that the organization is fulfilling all aspects of its not-for-profit status and tax-exempt status
• Monitor the activities of the Board of Directors to ensure it does not overstep its authority
• Submit resolutions to the AAPA House of Delegates on behalf of the Society
• Determine and notify the delegates to the AAPA House of Delegates as to the official position of the Society
• Be familiar with the Bylaws, Policies, and Procedures of the Society
• Be certain that policies are clearly identified and are enforced by the Board as a whole rather than a small group of individuals
• Be familiar with the minutes of the Board of Directors meetings
• Be familiar with the publications of the Society
• Be familiar with the budget and financial situation of the Society
• Monitor the community and professional image of the Society
• Avoid the substance or appearance of conflicts of interest
